How To

Transferring leads between users

  1. Open Settings.
  2. Open Leads and select Lead Transfer.
  3. Select Transfer, or click the Lead Transfer menu to begin.
  4. Select the source user whose leads will be transferred and the receiving or destination user.
  5. If needed, filter the leads by creation date or select the required time period.
  6. Click Transfer.
  7. Select the recipient type, when prompted.
  8. Click Confirm, then click Confirm again in the confirmation prompt.
  9. Repeat the procedure for each additional source user whose leads must be transferred.

Replacing or deleting a user

To replace a user:

  1. Transfer the departing user's leads to the administrator account before deleting the user.
  2. Open the user-management area. Depending on the entry point, this is Manage Users and Teams, User and Team Management, or user management in the system storefront.
  3. Locate and select the departing user. Use the status dropdown to find the user, including by suspended status when applicable.
  4. Open the three-dot menu next to the user.
  5. Select Delete.
  6. Invite or add the replacement user, or create the replacement user's account.
  7. Open Settings in R-CRM and select Lead Transfer.
  8. Select the departing user or administrator account as the source and the replacement user as the destination.
  9. Transfer the leads to the replacement user.

To delete a user without replacing them, open the main system page or customer-management page, open user management, select the three-dot menu next to the user, and select Delete.

Importing leads

  1. Separate lead records into salesperson-specific sets in Excel before importing them.
  2. Configure the required lead-source text in the back-office settings before using that source during import.
  3. Open Settings.
  4. Open Leads and select Import Lead.
  5. Download the sample file.
  6. Enter the lead information in the downloaded sample file.
  7. Select the recipient group.
  8. Select the pipeline where the imported leads should be placed.
  9. Select the file to import.

To record a lead's date during import, enter the date in the Lead Intro field. If that field is already being used, enter the date in another available field, such as the tag field.

Exporting leads

  1. Open Settings using the gear icon, then open the Leads section and select Export Leads.
  2. Set the conditions for the export, including the lead creation date.
  3. Select the Legacy Format checkbox at the bottom of the export settings when required.
  4. Click the export button or select the Excel export option.

To export all leads, set the start date far enough back to cover the required history. Large exports are recommended to be split into periods such as three months or one year.

Filtering Lead Conversion data

  1. Open the filter menu in R-CRM.
  2. For Lead Conversion data, select the date range to view.
  3. Filter the data by team.
  4. Filter the data by specialist name.
  5. Click the filter control again to apply the selected filters.

Restricting or allowing visibility of leads and customer records

To restrict visibility:

  1. Open R-CRM from the system home page.
  2. Open Settings and the Leads section.
  3. Open Open/Close Functions or Enable/Disable Functions.
  4. Enable Restrict visibility of leads and customer registry or the setting that limits visibility of leads and customer records.

To make all users' leads and customer records visible:

  1. Open the same visibility setting.
  2. Disable the setting that limits visibility.
  3. Save the change.
  4. Refresh R-CRM.

Finding leads without an assigned owner

  1. Return to the Leads page.
  2. Open the My Leads dropdown in the upper-right corner.
  3. Select the list of leads without an assigned owner.

Setting lead-pipeline permissions

  1. Open Settings.
  2. In Leads, select Manage Lead Pipelines.
  3. Open the three-dot menu for the relevant pipeline.
  4. Select Usage Permissions Settings.
  5. Choose the custom permission option.
  6. Select the salespeople who are allowed to view the pipeline.

Managing duplicate leads

  1. Open Settings.
  2. Open the duplicate-lead checking option.
  3. Select the option that prohibits lead creation when duplicate leads are not permitted.

Adding and configuring pipelines

  1. Open Pipeline Management.
  2. Open Pipeline List.
  3. Click Add Pipeline.

Pipeline stages can be adjusted to match the company's actual working process. Lead rotation can be configured separately by channel or as one combined rotation across social channels.

Creating and assigning approval flows

  1. Create a new approval flow when the existing flow cannot be edited.
  2. Assign an available approver to the new approval flow.
  3. Select the new approval flow when creating a quotation.

Creating sales targets

  1. Open Settings and select Sales Targets in the Leads menu.
  2. Click Create Sales Target.
  3. Select the pipeline for the target.
  4. Enter a name for the target.
  5. Open the three-dot menu for the target entry and select Create Sales Target or Set Sales Target.
  6. Select the year and team.
  7. Enter the monthly target amount for each user in the zero-filled fields. The amounts can be entered by typing over cells that initially display zero.
  8. Return to the Leads page and select the pipeline associated with the target.

To activate a target for a pipeline, open Settings, open Sales Targets in the Leads menu, choose the pipeline, and click Activate.

Reviewing tax settings

  1. Open Settings.
  2. Open Products.
  3. Open Tax Settings.

Filtering quotations and downloading them

  1. Enter R-CRM from the home page.
  2. Open Quotation/Invoice.
  3. Select the quotation list.
  4. Click the three-line filter icon on the right side of the list.
  5. Specify the desired quotation filters.

  1. Open R-CRM.

  1. Click Forgot Password on the R-CRM login screen.
  2. Enter the user's email address.
  3. Click the password-reset option in the email.

Changing the registered email address

  1. Open the page that displays the available systems and select R-CRM.
  2. Click the profile information icon in the upper-right corner.
  3. Select Account and Security Settings.
  4. Change the user email address to the new email address.
  5. Enter the one-time password sent to the registered mobile phone.
  6. Check the new email address for the verification one-time password and enter it in R-CRM.
  7. Confirm or update the email-address change after entering the verification code.

Accessing R-CRM after registration

  1. After registering for R-CRM, check the email address used for registration.
  2. Use the access code in the registration email to enter the system.

To allow an agent to access R-CRM, the agent sends an access request to the account owner's email address.

Recovering from an image-upload failure

  1. Clear the computer's cache.
  2. If the image still cannot be uploaded, restart the computer.
  3. After restarting, log out of R-CRM.
  4. Log back in and try the upload again.

Scheduling visits, calls, reminders, and follow-ups

Users can plan customer visits or calls in advance by specifying the date, time, and customer. Sales staff can also create follow-up records for planned visits and specify the location, date, time, and customer details.

At the scheduled time, the salesperson opens the work calendar. When the salesperson arrives at the destination, they share their location. After the visit, users can record customer information in R-CRM, including by speaking so that speech is converted into text. Users can enter a quotation and set a follow-up time.

The reminder tool allows users to set a follow-up date, time, and topic. R-CRM also provides filters for selecting which users' calendar items to view.

Recording lead and sales activity

  1. When a lead arrives in R-CRM, the user receives a notification.
  2. Record or take action on the lead in R-CRM.
  3. Advance the lead to the appropriate stage.
  4. Check in through R-CRM when visiting a customer.

After communicating with a customer in chat, record the resulting performance in R-CRM. When closing a sale, manually record the sales month. At the final pipeline stage, use the plus symbol to set the expected month of sale closure.

Transferring account-owner rights

  1. The current R-CRM owner logs in to R-CRM.
  2. The current owner selects the option to transfer owner rights to another person.

Emailing a lead

  1. Open the lead.
  2. Select the email-sending menu.

Viewing leads created on additional dates

Expand the date filter in R-Insight to include the additional dates whose leads should be retrieved.

Importing hospital customer data

Hospital customer data must be imported manually when a direct hospital information-system connection is unavailable.

Exporting customer data to an advertising platform

  1. When an advertising account is not connected, export the customer data from R-CRM.
  2. Import the exported customer data into the advertising platform's account.

Requesting OTP disabling

To request disabling OTP for a CRM user, email all relevant details to the company's staff so they can process the request.

Checking renewal information

  1. Provide the requested business name or quotation number.
  2. Support checks the renewal information.
  3. If the directly responsible staff member is unavailable, support arranges for that staff member to call the customer back.

Scheduling an R-CRM overview or demonstration

  1. After reviewing the provided materials, schedule an overview of the R-CRM system if it is suitable.
  2. Attend an online meeting to view an R-CRM demonstration.

R-CRM payment, onboarding, and training

  1. Pay for R-CRM before the onboarding and demonstration process begins.
  2. Arrange the onboarding-session date after payment.
  3. The training team may remain logged in during training to provide assistance.
  4. After training finishes, the training team logs out of the system.

The agent opens the R-CRM demonstration account in advance.

Requesting more R-CRM information

Customers can provide their contact information to request further information. After receiving it, the sales team contacts the customer. Sales staff can also send R-CRM feature details by email.

Rules & Requirements

Managing users, ownership, and access

  • R-CRM provides three permission levels:
    • Business owner or supervisor: Can view all information and configure the system.
    • Team leader: Can view information belonging to the leader’s own team.
    • User: Can view only the user’s own information.
  • Permissions can be configured so salespeople see only their own information while managers see everyone’s information.
  • Only users with administrator-level or higher permissions can access approval-flow settings.
  • Only an administrator can configure lead pipeline permissions.
  • Access to R-Insight reports depends on the user’s assigned permissions.
  • A standard user can see their own calendar items. An administrator can see all users’ calendar items and other users’ leads. R-CRM can have two administrators who jointly view all users’ calendar items.
  • The person listed as the system owner can manage users. Only the current owner can transfer ownership rights; another person cannot transfer ownership on the owner’s behalf.
  • A user can be deleted only after system ownership has been transferred to the appropriate owner. Deleted user data cannot be restored through the system.
  • Support staff’s ability to manage or view other users’ data depends on whether their account has the user or administrator role, not on their team. An administrator can see the data visible to the account owner.
  • A user role shows only the Leads and Orders menus and does not show the Customer Registry menu.

Restricting lead and customer-record visibility

  • R-CRM has a system-wide setting called Limit visibility of leads and customer records. The setting applies to all users rather than being configured separately for each user.
  • When restricted visibility is enabled, users with the user role can see only their own leads and customer registry records. They cannot see other users’ leads or customer records.
  • Administrators can search for and see all users’ customer records, leads, and customer registry records even when restricted visibility is enabled.
  • Disabling restricted visibility allows users to see all leads and customer records, including records belonging to other users.
  • The setting limits leads and customer records together; R-CRM does not provide separate controls for showing a user’s own leads while hiding customer records.
  • Permissions can also be configured so that an account sees only the leads it created. A higher-permission account can access customer records beyond the leads assigned to that account.

Transferring and deleting users’ leads

  • R-CRM does not support automatic lead transfers.
  • Lead transfers are reported as follows: one description states that an administrator must perform them, while another states that users can transfer leads to one another; administrators can transfer leads.
  • The transfer procedure transfers all leads from the selected source user, regardless of pipeline stage, including closed-sales leads.
  • Closed leads do not need to be transferred if the receiving user does not require them.
  • Transfer a user’s leads before deleting the user. Leads belonging to a deleted user can also be transferred to a new user by selecting the deleted user as the source.
  • Do not import leads that have already been transferred, because re-importing them creates duplicates.

Importing leads and customer data

  • Lead records already being followed up, or intended to be assigned to salespeople, must be separated into a set for each salesperson before import.
  • If an imported list contains leads from multiple sources, separate the leads by source before distributing them to salespeople.
  • Existing customer data can be imported without specifying a lead source. Create a source entry identifying the migrated data as an old customer database.
  • Importing leads may require manual data entry. Customer records are imported one at a time to help prevent the system from going down.
  • The import process does not allow the lead date to be specified directly.
  • Contact IDs and lead IDs do not duplicate within each Business in R-CRM.

Managing customer records and duplicate leads

  • Customers in the customer registry are not assigned to a specific salesperson for follow-up. When a customer contacts the company, a salesperson can add that customer to the salesperson’s own follow-up portfolio.
  • A lead can be created by selecting an existing customer record, even if another user originally created that record.
  • Adding a contact to an existing customer registry keeps the registry assigned to the person who originally created it.
  • A customer record can be created only once in R-CRM.
  • An administrator’s duplicate-creation setting determines whether users can create duplicate records.
  • When duplicate-lead checking is enabled and a lead uses the same phone number as an existing lead, R-CRM reports that the customer record already exists and displays the duplicate record. Selecting the option that prohibits duplicate lead creation prevents sales users from creating another lead for the same customer.

Connecting advertising and handling incoming leads

  • Advertising must run under the company’s own advertising account for the account to connect to R-CRM. Advertising accounts managed by an agency generally cannot be connected.
  • If the company wants to distinguish potentially valuable leads from general inquiries, someone must filter incoming leads before distribution.
  • If no one filters incoming leads, salespeople may select leads themselves. The number of leads each salesperson receives then depends on their activity and the company’s chosen policy.
  • R-CRM does not notify users how long a salesperson has taken to respond to a chat.
  • Chat activity and sales performance are handled as separate systems: chat is the starting point, while R-CRM stores the resulting performance.
  • In the described workflow, a sale is complete only after the customer proceeds with the subsequent process, such as attending the clinic appointment.

R-Insight data and reporting

  • R-Insight reports only on data from R-CRM and is not related to website data.
  • R-Insight does not collect or store customer data from LINE OA or Facebook Messenger.
  • R-Insight currently cannot import or add data from external sources. Sales closed outside R-CRM cannot be added to R-Insight.
  • Lead details retrieved in an R-Insight report are based on the date the leads were created, according to the selected date filter.
  • The closed-sales count can be based on the date the leads were closed, while the retrieved lead details are based on the leads’ creation date.

Using the Sales and Marketing Dashboard

  • The R-CRM Sales and Marketing Dashboard does not display data until the user selects the desired filters.
  • The total shown on the R-CRM front page is used as the basis for sending the information.
  • Information displayed in R-CRM may sometimes contain system errors.

Setting and displaying sales targets

  • Sales targets are set by month rather than as a single annual target.
  • A sales target can be edited after it has been created.
  • The target amount appears on the Leads page only when a sales amount is configured for the target and the correct Pipeline is selected.

Recording customer visits and locations

  • R-CRM determines the visit location pin from the sales staff member’s shared current location. The pin is created only when the staff member is physically at the customer location.
  • The location uses a radius of 1 to 50 meters, and the salesperson cannot move the pin arbitrarily or move it to a different location.
  • R-CRM does not provide an approval workflow requiring a manager to approve a planned visit before the salesperson can go.
  • R-CRM does not provide advance notifications showing the planned customer location pin or a Google Map route before a visit.
  • Activity notes appear in a feed-like text format rather than as a bullet list of predefined actions.

Configuring approval flows

  • An approval flow cannot be edited after it has been activated.
  • A separate approval flow can be created for temporary use while the usual approver is unavailable.

Exporting leads and changing account email addresses

  • R-CRM recommends exporting no more than 4,000 leads at a time.
  • When a user exports leads, the file is sent automatically to the email address of the user performing the export. R-CRM does not provide a separate option to change the destination email address.
  • If a user account contains leads, transfer those leads to another active user before changing the account email address or removing the user.
  • Changing one user’s email address does not remove leads belonging to another user.
  • After the owner’s email address is changed, use the new address to log in. Exported leads are then sent to the new email address.

Using accounts and sessions

  • Several devices accessing the same R-CRM login simultaneously may cause system errors.
  • A shared user account may experience a session logout when multiple people use it because access security is prioritized.
  • When a session requires verification, a one-time password is sent to the registered phone number. The phone number used for OTP verification can be changed later.

Managing subscriptions, licenses, and user quotas

  • One license supports one user and uses an email address for login. Separate licenses are recommended for salespeople so each person’s work can be distinguished.
  • The CRM offering does not have a one-user package; its entry-level package starts at three users. R-CRM supports up to three users.
